A trust hospital runs on more than patients and doctors. It runs on zakat envelopes dropped at the front desk, sadqa given for a specific patient, a trustee's monthly contribution, and whatever sits in the charity box by the door. Every rupee of that has to be traceable, because it belongs to donors and to the people it was meant to help, not to the hospital. Most [hospital management software in Pakistan](/en/industries/hospital-management-software) was never built with that in mind. This is how we built zakat management software into EHMS for a trust eye hospital in Chishtian, and why it mattered as much as any clinical feature.

### The hospital this was built for

The hospital is a trust eye hospital in Chishtian, in South Punjab. Its owner, Usman Khalid, lives in the UK, so his visits to Pakistan are short. We have told the full story of how EHMS came to be in [the EHMS case study](/en/blog/hospital-management-software-pakistan); this article is about one part of that system: the money that comes from zakat, sadqa and charity, and how it is kept separate from everything else.

Before EHMS, the hospital ran on old software from a vendor in Multan, written in old PHP. The vendor would not update it and would not fix it when something broke. Zakat, trustee funds and cheques were tracked in registers. Usman had about a month in Pakistan before his flight back when he asked us to help. We asked for six weeks.

### Why we were there at all

The client who sent Usman to us had nothing to do with hospitals. He runs [Turner 10](/en/work/turner10-real-estate-erp) for his real estate projects and has worked with us for years. A friend's hospital needed software, and he made the introduction. That is the only reason a real estate referral turned into a hospital's zakat ledgers.

### Six weeks, then a web system

We built the first version as a desktop ERP in C# with Telerik, with loosely coupled modules and an in-memory cache so the screens stayed fast, and a finance core that covered the chart of accounts, cheques, supplier payments and reports. We moved the hospital's data and trained the staff on site, and the hospital never closed for a single day while that happened.

That desktop system ran the hospital for several years. Then the hospital asked us to move it to the web, and we built EHMS on Next.js, NestJS and PostgreSQL over three months. The web version made the core workflows about 95% faster than the old desktop screens. A second hospital has since ordered EHMS as well.

### Zakat management software: why "it's in the books" is not enough

Keeping zakat "in the books" by writing a line in a register is not the same as zakat management software that can answer a trustee's question in seconds. In EHMS, zakat, sadqa, trust funds and charity-box money each sit on their own ledger account. A contribution to a fund raises its balance. When a patient gets a funded discount at the desk, the operator picks which fund it draws down, and that fund's balance drops by exactly that amount. The system will not let a zakat discount touch sadqa, or a sadqa discount touch a general trust fund; the screen itself says "a zakat discount never touches sadqa." That separation is the difference between a hospital zakat fund you can defend to a donor and one you can only guess at.

This is also why charity hospital software and zakat fund software need to be the same conversation: a trust hospital's finance core has to carry charitable funds as cleanly as it carries billing and cheques, not as an afterthought bolted onto a generic accounting system.

### What Usman Khalid says about it

> "I live in the UK, so my visits to the hospital are short. Our old vendor wouldn't update the software or fix anything when it broke, and I had about a month before my flight back. A friend who runs his housing schemes on Safdar's software sent him to us. He came to Chishtian, sat with our reception and accounts staff for days, and asked for six weeks. Six weeks later the hospital was running on his system, and we didn't close for a single day. We used it for years. When we wanted it on the web, we didn't look anywhere else. What matters most to me is that I can open it from the UK and see exactly where our zakat and charity money has gone."

### Frequently asked questions

**Can zakat and sadqa really be kept apart in the same system?** Yes. In EHMS each fund, zakat, sadqa, trust and charity-box money, has its own ledger account. Contributions raise a fund's balance and a funded discount draws down only the fund chosen for it, so a zakat discount never touches sadqa.

**How much does this kind of hospital software cost?** EHMS starts from PKR 1.5 lakh. The final price depends on departments, branches, modules and how much data has to move from the old system; we send a written plan with the exact number after seeing the hospital.

**Is it available in Urdu?** Yes. EHMS runs fully in Urdu, right to left, and reception, pharmacy and accounts staff can each work in Urdu, English or Arabic. The [full guide in Urdu](/en/blog/hospital-software-in-urdu) covers the same hospital's story.

**Can you migrate our existing registers and old software?** Yes. At the Chishtian hospital we moved all the running data from the old PHP system ourselves and trained the staff on site, and the hospital did not close for a single day. We do the same for registers, spreadsheets and other systems.
